Terms and Conditions
Applicable to Online Services at Queens House

These Terms and Conditions (“Terms”) govern your use of virtual membership plans, meeting room bookings, and other services accessed via the Queens House Membership Portal or App. By using these services, you agree to comply with these Terms. Please read them carefully.

  1. General Terms
    These Terms apply to all meeting room bookings, facilities, and services at Queens House. By using our services, you agree to these Terms.
  2. Membership and Access
    2.1. Eligibility
    To become a Queens House member, you must be at least 18 years old and legally able to enter a binding contract. All information provided during registration must be accurate and current.

2.2. Application
Membership applications are subject to approval. Queens House reserves the right to reject any application at its discretion.

2.3. Fees
Membership fees vary by plan. A detailed fee structure, including charges for additional services, is provided in Annex A. Fee changes will be communicated in advance.

2.4. Access
Membership provides access to communal areas and meeting rooms during operating hours (Monday to Friday, 9:00 a.m. – 5:30 p.m., excluding bank holidays), subject to availability. Access hours may change with prior notice.

  1. Bookings and Reservations
    3.1. Booking Facilities
    Members can book meeting rooms and facilities through the Queens House website or App on a first-come, first-served basis. Bookings are confirmed only after payment is received.

3.2. Cancellation Policy
Cancellation policies differ by facility. See specific terms below. Late cancellations may incur charges. Queens House reserves the right to adjust prices with notice.

  • All prices exclude VAT.
  • Half-day bookings apply to a 4-hour block (morning: ending before 1:30 p.m.; afternoon: starting after 1:30 p.m. and ending before 5:30 p.m.).
  • Full-day bookings include one serving of tea, coffee, and biscuits.
  • Cancellations must be made via email to [email protected].

3.2.1. Cancellation Fees

  • Portland Room: 100% charge if cancelled 48 hours or less before the booking.
  • Titchfield, Wells, Langham, or Mortimer Rooms: 50% charge if cancelled 24 hours or less before the booking.

3.3. Non-Transferable Bookings
Bookings are exclusive to the member who made them and cannot be transferred or resold. Cancellations or changes may be requested by an authorized representative with the member’s written permission.

  1. Use of Facilities and Services
    4.1. Member Conduct
    Members must act professionally. Misconduct, such as disruptive behavior, illegal activities, or property damage, may lead to membership suspension or termination and removal from the premises.

4.2. Legal Compliance
Members must follow all applicable laws, including health and safety regulations.

4.3. Facility Care
Members are responsible for treating facilities with care. Any damage caused by a member will result in liability for repair costs.

    5.1. Extra Services
    Services such as catering, mail handling, and laundry are available, subject to their own terms. Availability may vary. Terms for these services can be found at:

5.2. Payment
Fees for additional services must be paid promptly as per the agreed terms.

  1. Termination and Suspension
    6.1. Member Termination
    Members may terminate their membership by emailing [email protected]. The notice period is outlined in your agreement. Membership fees are non-refundable, and outstanding charges must be cleared before termination.

6.2. Termination by Queens House
Queens House may suspend or terminate memberships at its discretion. Refunds for unused membership periods will be issued on a pro-rata basis.

  1. Limitation of Liability
    Queens House is not liable for indirect, incidental, consequential, special, or exemplary damages, including loss of profits or business, arising from the use of our facilities, even if advised of such damages. Members are responsible for losses or damages caused by their actions.
  2. Payment Security
    8.1. Payment Processing
    Payments via the Queens House Membership Portal or App are securely processed by third-party providers, Stripe and GoCardless. Queens House does not store payment details.

8.2. Third-Party Compliance
Stripe and GoCardless comply with UK security standards, including PCI DSS certification, to protect your payment information.

8.3. Data Protection
Queens House complies with the UK Data Protection Act and General Data Protection Regulation. For details, see our Privacy Policy on the Queens House website and App.

  1. General Provisions
    9.1. Changes to Terms
    Queens House may update these Terms at any time. Changes will be communicated via the Membership Portal or email. Continued use of services indicates acceptance of updated Terms.

9.2. Severability
If any part of these Terms is found invalid or unenforceable, it will be adjusted to the minimum extent necessary, and the remaining Terms will remain in effect.

9.3. Governing Law
These Terms are governed by the laws of England and Wales.

    These Terms, along with any posted policies or rules, form the complete agreement between you and Queens House regarding the use of our services.
